Whistleblowing Policy

1. Introduction

Carextra Staffing ("the Company") is committed to the highest standards of integrity, transparency, and accountability. We encourage employees, agency workers, contractors, and other stakeholders to report concerns about wrongdoing, malpractice, or unethical behaviour within the organisation without fear of retaliation.

This policy outlines how whistleblowers can raise concerns and the procedures we will follow to investigate and address such concerns. It is in line with the Public Interest Disclosure Act 1998 (PIDA) and the UK Employment Rights Act 1996.

 

2. Scope of the Policy

This policy applies to all employees, agency staff, contractors, and third parties connected to Carextra Staffing.

Whistleblowing refers to the disclosure of information about:

  • Criminal activity (e.g., fraud, theft, abuse of power).

  • Health and safety violations endangering individuals.

  • Misconduct or malpractice in the workplace.

  • Breaches of regulatory compliance, such as Care Quality Commission (CQC) standards.

  • Financial mismanagement or fraud.

  • Cover-ups of any wrongdoing.

  • Modern slavery, discrimination, or harassment.

Personal grievances or complaints related to employment conditions (e.g., bullying, disputes) should be addressed through the Grievance Policy rather than this policy.

 

3. Protection for Whistleblowers

Carextra Staffing ensures that whistleblowers are protected from:

  • Dismissal or disciplinary action for raising genuine concerns.

  • Retaliation, including harassment or victimisation.

  • Any disadvantage due to whistleblowing.

Anyone found retaliating against a whistleblower will face disciplinary action, which may include dismissal.

 

4. How to Raise a Concern

If you have a reasonable suspicion of wrongdoing, you are encouraged to raise your concerns through the following steps:

 

4.1 Internal Reporting

  • Step 1: Speak to your line manager or supervisor.

  • Step 2: If the issue is not resolved or is inappropriate to discuss with a manager, report to:

4.2 External Reporting

If internal reporting is not appropriate or the concern is not addressed, you may escalate it to external regulators:

Whistleblowers should ensure they disclose concerns to the appropriate authority to maintain legal protection under the Public Interest Disclosure Act (PIDA).

 

5. Investigation Process

  • Once a concern is reported, it will be reviewed within 5 working days.

  • If necessary, an investigation will be initiated, and whistleblowers may be contacted for further details.

  • Investigations will be conducted fairly, confidentially, and objectively.

  • Outcomes and actions taken will be communicated to the whistleblower where possible.

 

6. Confidentiality & Anonymous Reporting

Carextra Staffing will treat all whistleblowing disclosures in strict confidence.

  • Whistleblowers can report concerns anonymously.

  • If an investigation requires revealing the whistleblower’s identity, consent will be sought where possible.

  • Any attempts to identify an anonymous whistleblower against their wishes will be treated as misconduct.

 

7. False or Malicious Allegations

Whistleblowers must report concerns in good faith.

  • No action will be taken against whistleblowers who report concerns honestly, even if their claims are later unfounded.

  • However, employees who intentionally make false or malicious allegations may face disciplinary action.

 

8. Review & Compliance

This policy will be reviewed annually to ensure compliance with UK laws and best practices.
